IU Open Air Venues are back and reservations are now being accepted for all 12 locations! These venues are once again available FREE of charge for use by IU Bloomington students, faculty, staff, campus departments, and student organizations. The spaces are available to you to present a variety of events in safe and socially distant outdoor environments.
If you anticipate 25 or more attendees for your event, you'll also need to fill out the Event & Conference Request Form to be approved by the University Event Request Committee.
Open Air Venues can be used for all kinds of events and gatherings including club meetings, fine and performing arts, live entertainment, civic and community engagement, health and wellness, and athletic-related events, to name a few.
We hosted over 300 events during the fall semester with over 12,000 participants and we can’t wait to see you all again starting in February!
Venues

How do I book an Open Air Venue location?
Open Air Venue reservations are now being accepted for Spring 2021.
Step 1: Please visit the Events Guidance webpage for guidance, policies, and procedures for hosting events on or off campus.
Step 2: Fill out the Event & Conference Request Form for events expecting 25 or more in attendance. NOTE: all events in the Performance Hub locations require approval by the University Event Request Committee (UERC) via the Event & Conference Request Form. If you anticipate 25 or more people in attendance gathered at one time at any of the Campus Corner locations, you must also fill out the Event & Conference Request Form.
Step 3: Complete the Open Air Venues Request Form. NOTE: Event organizers may complete the Open Air Venue Request form prior to receiving approval from the UERC, though dates will not be confirmed until the event is approved by the UERC.
Step 4: With your UERC approval and Open Air Venue date confirmation, you have successfully booked an Open Air Venue for your event!
How much does it cost?
For IU students, faculty, staff, academic units, departments, and student groups, there is no charge for use of the Open Air Venues. There may be costs associated with additional technology or infrastructure needs not included with the venue. Estimates are available upon request.
Does my event need to get approved first?
Open Air Venue reservations for spring will be taken starting January 19, 2021.
In short, it depends. Prior to any use of an Open Air Venue, availability must be requested by using the Open Air Venue Request Form.
For events expecting 25 or more in attendance, you must also fill out the Event & Conference Request Form to receive approval from the University Event Request Committee (UERC). While you may complete the Open Air Venue Request Form to explore date availability prior to receiving approval from the UERC, please note that no dates will be confirmed until you have a confirmation email with approval from the UERC.
For events expecting fewer than 25 in attendance, please complete the Open Air Venue Request Form. You do not need to fill out the Event & Conference Request Form unless you are anticipating 25 people or more in attendance gathered at one time.

Is WiFi or Internet access available at Open Air Venues locations?
There is no dedicated Wifi or Internet for Open Air Venues locations, and there is no guarantee of access to WiFi or Internet at any of the venues.
Are restrooms available at Open Air Venues?
There are no dedicated restroom facilities at Open Air Venues. Access to public buildings with restrooms varies by location.
What is included in a basic sound and/or light package?

Do I have to go through Open Air Venues to book an event on campus?
The Open Air Venues Request Form only applies to designated Open Air Venues.
For all other indoor and outdoor space requests, submit a Space Reservation Request Form online through the Division of Student Affairs.
What do I do if there is a forecast of rain during my event?
For events that qualify for UERC approval, event organizers have two options for rain plans. Organizers may either independently arrange for an indoor venue at the same date and time as the Open Air Venue reservation, or can schedule a rain date at their original Open Air Venue once the rain decision has been made. Availability of both options varies by venue, and Auditorium Management does not oversee scheduling of all the suggested indoor spaces. Additional UERC form submission and approval is required if moving the event indoors will require a change in attendance, food or beverage service, or any safety aspects of the event.
For events that do not meet the criteria to require UERC approval, rain decisions should be made 24 hours in advance of the event. Auditorium Management will work with you to find a suitable date and time to which to move your event. Please note that for event organizers who proceed with their originally scheduled date and time, Auditorium Management reserves the right to modify equipment use at Open Air Venues due to rain.
